A good user manual answers the customer's question before they pick up the phone. A bad one is a folded sheet in 24 languages that ends up in a drawer. The difference is mostly structure: the right sections, in the right order, written in short steps.
This user manual template gives you the full outline for an instruction manual, with what to write in each section and example wording in [square brackets] that you can replace with your own details.
The user manual template
1. Cover and identification
Tell the reader exactly which product and which version of the manual they hold.
| Item | What to include |
|---|---|
| Product name and model | [Brand] Air Purifier, model [AP-200] |
| GTIN or model number | [GTIN 05901234123457] |
| Manual version and date | [Version 1.2, October 2026] |
| Manufacturer | [Company name, street, city, country] |
| Support contact | [[email protected], +1 555 0100] |
The GTIN ties the manual to one product in retail and in your own systems. Your manufacturer name and postal address are also a regulatory expectation for most consumer products in the EU.
2. Safety information
Put this before setup. Use signal words in the style of ANSI Z535.6 and ISO 3864-2, and give each one a consistent color and icon.
| Signal word | Meaning |
|---|---|
| DANGER | A hazard that will cause death or serious injury |
| WARNING | A hazard that could cause death or serious injury |
| CAUTION | A hazard that could cause minor injury |
| NOTICE | Risk of damage to the product or property |
Write each warning as hazard, consequence, how to avoid it:
[WARNING: Electric shock. Do not use the charger near water. Unplug the charger before cleaning.]
Add two short blocks:
- Intended use: [This product is designed for indoor household use only.]
- Foreseeable misuse: [Do not use the product outdoors, on wet surfaces or with accessories not supplied by [Brand].]
3. What is in the box
A list the customer can tick off, ideally with small pictures.
[1 x Air purifier, 1 x Power cable, 1 x Filter (installed), 1 x Quick start card]
Add where to get missing or replacement parts: [Contact support at example.com/help with your serial number.]
4. Product overview
One labelled diagram of the product from the front, back and top, with numbered callouts and a table beneath.
| Number | Part | Function |
|---|---|---|
| 1 | Power button | Turns the unit on and off |
| 2 | Display | Shows fan speed and filter status |
| 3 | Filter cover | Opens to replace the filter |
5. Installation and setup
Numbered steps, one action each, with a picture per step where you can.
[1. Remove all packaging, including the foam under the filter. 2. Place the unit on a flat surface at least 20 cm from walls. 3. Plug in the power cable. The display lights up.]
State what the customer should see when a step worked. That is how they know they can move on.
6. Operation
Cover the everyday tasks in the order customers do them: turn on, choose a mode, change a setting, turn off. Use one short heading per task.
[To change the fan speed, press the Speed button. The display shows 1, 2 or 3.]
7. Cleaning and maintenance
Say what, how often, and with what. Include what not to use.
| Task | How often | How |
|---|---|---|
| Wipe the housing | Weekly | Soft damp cloth, no solvents |
| Replace the filter | Every [6 months] | See filter steps, section 5 |
| Check the power cable | Monthly | Look for cuts or wear |
8. Troubleshooting
A table of the problems customers actually report. Pull these from your support tickets.
| Problem | Possible cause | What to do |
|---|---|---|
| Unit will not turn on | Cable not seated | Reconnect the cable firmly |
| Weak airflow | Filter is dirty | Replace the filter |
| Loud noise | Unit on uneven surface | Move it to a flat surface |
| Display shows E3 | Filter cover open | Close the cover until it clicks |
End with: [Still stuck? Contact support at [email] and have your serial number ready.]
9. Specifications
Rated voltage and power, dimensions, weight, operating temperature, battery type and capacity, materials where relevant. Use a two-column table.
| Specification | Value |
|---|---|
| Rated voltage | [220-240 V, 50 Hz] |
| Power | [45 W] |
| Dimensions | [30 x 30 x 55 cm] |
| Weight | [5.2 kg] |
10. Warranty and support
State the warranty length, what it covers, what voids it, and how to make a claim.
[Your [Product] comes with a [2-year] limited warranty from the date of purchase. To make a claim, go to [example.com/warranty] and have your serial number and proof of purchase ready.]
11. Disposal and recycling
Show the crossed-out wheelie bin symbol for electrical products (WEEE) and explain where to take the product at end of life. For products with batteries, say how to remove them if the customer can, and where to return them.
[Do not dispose of this product with household waste. Take it to a collection point for electrical and electronic equipment.]
12. Regulatory information
List the marks and statements that apply to your product and market, and reference the declaration of conformity.
- CE: [This product carries the CE marking. The EU declaration of conformity is available at [URL].]
- FCC (US): [This device complies with Part 15 of the FCC Rules.]
- Other: [UKCA, battery, radio or energy label information as applicable.]
Which statements are required depends on your product and market. Check them with your compliance contact before printing.
Quick start guide template
A quick start guide is one page, or one card, that gets the customer to first use fast. Keep it to four to six steps with a picture for each.
- Unbox. [Remove the unit and check the contents against the picture.]
- Connect. [Plug in the power cable.]
- Power on. [Press and hold the power button for 2 seconds.]
- Set up. [Choose your language and Wi-Fi network on the display.]
- Use. [Press Start. You're ready.]
- Get help. [Scan the QR code for the full manual, videos and support.]
The quick-start card is where the QR code to the full manual belongs. It sits inside the box, in the customer's hands at the moment they need it, and one scan opens the up-to-date manual instead of a printed copy that can go out of date. A GS1 Digital Link keeps that code working as your pages change.
Writing tips
- Use plain language. Short sentences, everyday words. Write for someone who has never seen the product.
- One action per step. If a step has "and" in it, split it.
- Number the steps. Use bullets only for lists where order doesn't matter.
- Show, don't describe. A picture or short clip beats a paragraph, especially for assembly.
- Keep terms consistent. If the part is a "filter cover" on page 3, it is not a "lid" on page 9. Also match the labels on the product itself.
- Plan for translation. Leave space in layouts, avoid idioms, and use the same source text for every language.
- Version your manual. Put a version and date on the cover, and keep a list of what changed.
Digital manuals
More and more rules allow instructions in digital form. The Machinery Regulation (EU) 2023/1230 allows digital instructions for machinery, with a paper copy on request. Under the General Product Safety Regulation, instructions and safety information must be in a language the consumer easily understands. Requirements differ by product category, so confirm what applies to yours.

Turn your manual into a product page
Once your manual is written, the PDF doesn't have to stay a PDF. With Veribl, you upload your PDF manuals and the AI assistant turns them into a mobile product page with setup guides and troubleshooting articles. Customers open it by scanning the QR code on the quick-start card, and they can ask questions that are answered from your manual.
